This Privacy Policy explains how HirePipe collects, uses, shares, and retains information when you visit our website or use our platform. It also describes the rights available to customers, users, and, where applicable, individuals whose information is processed through the service.

1. Scope and Roles

HirePipe provides outbound recruiting workflow software to recruiters and staffing agencies. For recruiter account information, product analytics, security logs, and billing records, HirePipe generally acts as the data controller or business. For contact data, prospect lists, enriched email addresses, and outreach content that customers source or generate through the service, HirePipe acts as a data processor or service provider on the customer's behalf.

2. Data We Collect

We may collect and process the following categories of data:

  • Account information: names, work email addresses, company names, login details, subscription status, and administrator settings.
  • Billing information: payment status, invoice data, and limited transaction details provided by our payment processor.
  • Contact data processed on your behalf: professional contact records, company names, job titles, sourced work email addresses, and related prospecting metadata.
  • Email campaign data: sequences, message content, delivery status, opens, clicks, replies, unsubscribes, and campaign performance metrics.
  • Usage analytics and technical data: page views, product interaction events, device/browser information, IP address, and application logs used for security and reliability.

3. How We Use Data

We use information we collect to:

  • provide, maintain, secure, and support the HirePipe service;
  • perform contact processing, enrichment, email automation, and reporting requested by our customers;
  • manage subscriptions, billing, invoices, and payment collection;
  • monitor performance, investigate errors, prevent abuse, and improve the product; and
  • comply with applicable law and enforce our agreements.

4. Cold Email Data and Customer Control

Email addresses and related contact information sourced by customers through HirePipe's tools are processed as customer data under the customer's control. Customers decide what data to collect, how to use it, what messages to send, and whether they have an appropriate legal basis to process or contact individuals. HirePipe processes that data only to deliver the service and acts as a processor or service provider for that data.

5. Sharing and Third-Party Services

We do not sell personal data to third parties. We share data only as needed to operate the service, including with service providers that process data on our behalf such as:

  • Stripe for subscription billing and payment processing;
  • Vercel for web hosting, deployment, and related infrastructure services; and
  • PostgreSQL infrastructure on Neon/Vercel for hosted application data storage.

We may also disclose information if required by law, legal process, or to protect the rights, safety, and security of HirePipe, our customers, or others.

6. Cookies and Analytics

HirePipe uses only minimal analytics and essential technical cookies or similar technologies needed to understand product usage, measure traffic, and maintain core site functionality. We do not use analytics for data resale or cross-site advertising profiles.

7. Data Retention

We retain recruiter account data, billing records, and operational logs for as long as reasonably necessary to provide the service, comply with legal obligations, resolve disputes, and enforce our agreements. Contact data processed on a customer's behalf is deleted within 30 days after account closure, subject to limited backup retention and any legal obligations that require longer storage.

8. Your Rights and Choices

Subject to applicable law, you may request access to, correction of, or deletion of your personal information. Customers may also request deletion of customer data stored in HirePipe. To exercise these rights, contact legal@hirepipe.com. We may request information needed to verify the request before responding.

9. GDPR Disclosures

If the GDPR or UK GDPR applies, our legal bases for processing may include performance of a contract, legitimate interests in operating and securing the service, compliance with legal obligations, and consent where required. Customers are responsible for identifying the legal basis for the prospect and outreach data they control. Where relevant, cross-border transfers are made using appropriate safeguards.

10. CCPA/CPRA Disclosures

If California law applies, HirePipe does not sell personal information and does not share personal information for cross-context behavioral advertising. California residents may request access to or deletion of personal information, subject to applicable exceptions, by contacting legal@hirepipe.com.

11. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information. No system is completely secure, and we cannot guarantee absolute security.

12. Changes to This Policy

We may update this Privacy Policy from time to time. Any changes will be posted on this page with an updated effective date.
